Responsibilities include offering administrative support across the organization, welcome guests and greet people who visit Four Pointes, coordinate front-desk activities, including distributing correspondence and redirect phone calls.
Essential Duties and
Responsibilities:
Responsibilities shared between several Activity Center Assistants include but not limited to:
Answer the telephones, greet clients, and help maintain a positive atmosphere at the Activity Center.
Determine what the person needs and refer them to the appropriate staff person.
Text or call home service worker to notify of cancellation Actively promote and assist with information and sign up of activity programs.
Schedule appointments for health and informational programs that require pre-registration.
Record loans and returns of durable medical equipment.
Open mail daily and distribute to correct recipients.
Open, record, and stamp for deposit only all checks received by Four Pointes.
Put monies into appropriate money envelope.
Enter all money received on Excel daily deposit worksheet.
All donations to the center need to be recorded on the Excel worksheet on a daily basis.
Record memberships, both renewals and new.
Enter new member information on Senior Space software.
Process and explain use of membership scanning cards used in conjunction with Senior Space software.
Help set up for the day's activities at the Senior Center in the morning.
Help co-worker with preparing the reception area, making coffee, and turning on the music, displaying appropriate notices & sign-up sheets for the seniors, assisting with the general orderliness and cleanliness of the activity rooms, preparing rooms for scheduled activities.
Conversely, help close the Activity Center for the day or the weekend, putting equipment away, resetting rooms for the next day's activities, cleaning coffee pots and other related duties.
Lock front doors, back doors and patio doors.
Assist Wellness Director with party and events planning, set-up and clean-up, and other jobs as requested.
Provide organizational support for other agency departments (finance, transportation, etc) as needed.
Telephone clients as needed such as:
ask for newsletter assembly help, call to invite to activities, and other telephoning requested by Wellness Director.
Assist in training the Phone Reassurance volunteers.
Ensure placement of daily calls to Phone Assurance participants.
Manage Harbor Transit bus passes and check requests.
Assist in training the front desk volunteers.
Maintain and record donations and loans of medical equipment for the medical loan closet.
Keep Wellness Center participant attrition list up to date.
Work as a team player to ensure quality programs are provided.
Qualifications:
Lift up to 30 pounds.
Assist with driving as events required.
Enjoy working with people, especially older adults.
Front desk personnel are the first faces of FOUR POINTES seen, and a friendly, respectful attitude is essential.
Excellent phone skills as the first voice of FOUR POINTES someone hears.
Excellent communication skills and people-oriented perspective.
Knowledge of local community resources or where to look for them.
Willingness to remain aware of information and available services that affect older adults in the community.
Good knowledge of general office duties, office organizational skills.
Able to handle interruptions and work on more than one project at a time.
Understanding of the activity programs and ability to help implement activity goals.
Able to work as a team player.
Computer skills essential.
Ability to learn new programs essential to the running of the center including all aspects of Senior Space program software.
Education and/or
Experience:
High school diploma or GED.
Experience with senior population a plus.
